Workflows set the checkpoints and automatic emails every booked job gets. Automatic drafts and email templates decide how routine emails are written and sent.
Steps
- Open Library, choose Workflow templates, then Create workflow.
- Name it, pick the Event type, and choose the Starting checkpoints — the milestones every job must reach, dated back from the event.
- Review Starting automations. Email automations go to the client on schedule without a draft to approve, so untick any you'd rather send yourself.
- Set Availability to publish it for new jobs, then Create workflow.
- In Studio settings, Automatic drafts sets whether each routine email waits for you (Review each time) or sends itself (Send automatically).
What happens next
New jobs of that type get the workflow when they're booked. Automation runs shows each time an automation ran and whether it worked.
Good to know
- Publishing under the same name replaces the old version; jobs already running keep theirs.
- For email templates, Save new version only saves a draft — Activate makes it the one that's used.
